The company operates a fully vertically integrated aquaculture model, encompassing hatchery operations, cage-based grow-out, processing, distribution, and sales. Kivu Choice is also one of the country’s largest employers with over 700 employees and plans to grow to 1,200 employees within the next three years, reflecting its strong commitment to job creation and inclusive economic development. Over the next five years, Kivu Choice aims to scale into Africa’s largest and most sustainable protein producer, producing and distributing 30,000 tons of fish annually for the Rwandan market and for export across the region.

About the Role

The Procurement Officer – Farm Operations will be tasked with sourcing and procurement of materials, equipment, consumables, and operational requirements supporting farm production activities. The role ensures timely procurement of farm-related items while maintaining cost efficiency, supplier accountability, and operational continuity across Kivu Choice’s aquaculture production activities.

Key Responsibilities

1. Farm Operational Procurement

  • oversee procurement of farm operational materials including nets, ropes, cage accessories, fish handling equipment, tools, PPEs, and production consumables.
  • assist sourcing of materials required for cage farming, hatchery, feeding, fish handling, and production operations.
  • Ensure timely procurement and delivery of farm operational requirements.
  • organize emergency and urgent procurement requests to minimize operational downtime.

2. Supplier Management & Sourcing

  • Source and evaluate suppliers for farm operational materials and services.
  • Obtain quotations, negotiate pricing, and ensure cost-effective procurement.
  • keep strong supplier relationships and track supplier performance.
  • organize with local and international suppliers to ensure timely delivery.

3. Procurement Coordination & Inventory assist

  • Work closely with warehouse and farm teams to track stock levels and replenishment requirements.
  • organize with requesting departments on material specifications and delivery timelines.
  • assist inventory planning and procurement forecasting for farm operational items.
  • Follow up on deliveries and ensure proper documentation during receiving.

4. ERP & Procurement Process Management

  • Create and oversee Purchase Requests (PRs) and Purchase Orders (POs) in ERPNext.
  • Ensure procurement records and supplier documentation are properly maintained.
  • Track procurement progress from request to delivery completion.
  • Ensure compliance with procurement procedures and approval workflows.

5. Reporting & Compliance

  • keep accurate procurement records and procurement trackers.
  • assist audit readiness through proper documentation and filing.
  • produce procurement summaries and operational reports where required.
  • Ensure procurement activities comply with company procurement policies.

Key Requirements

  • Bachelor’s degree in Procurement, Supply Chain, Logistics, Engineering, Agriculture, or a related field.
  • Minimum of 3–5 years’ experience in procurement or operational sourcing.
  • Experience in agriculture, aquaculture, manufacturing, or industrial operations is an advantage.
  • Strong negotiation and supplier management skills.
  • Knowledge of ERP systems, preferably ERPNext, is an added advantage.
  • Strong organisational, communication, and follow-up skills.
  • Ability to work in a fast-paced operational environment.
